How to Review a Personalized Video Before Sending It to a Prospect

Review the actual video, not just the template

Before you send a personalized video to a prospect, generate and watch a test version with the recipient’s data. A template can look right while a replacement sounds awkward, runs too long or displays the wrong asset. Check both what the prospect will hear and what they’ll see.

Check the recipient data and spoken message

Start with the fields that change for each prospect. Confirm the name, company and any other personalized values are accurate, spelled correctly and appropriate for that recipient. Make sure a value contains only the words meant to replace the selected phrase; fixed words in the template remain in place.

Listen for repeated words or an unnatural transition. For example, if the template already says “Hi,” a first-name value of “Hi Erada” would repeat the greeting. Keep spoken replacements concise: shorter variables are more predictable for timing.

  • Does each personalized detail belong to the intended prospect?
  • Does the replacement fit the sentence without repeating words already in the template?
  • Does the name or company sound clear when spoken?

Check timing, lip sync and subtitles

Watch each personalized section through to the end. Check that the replacement starts and finishes naturally and that the speaker’s mouth movement fits the new words when lip sync is used. If you use subtitles, compare them with the spoken message and check that personalized words appear correctly.

If a variable uses manual timing, review its transcript timing and fit. BHuman’s documentation recommends lip sync when facial movement should adapt to the new spoken value, and manual timing when the variable belongs in a known audio window without lip sync.

  • Is any replacement clipped, rushed or followed by an awkward pause?
  • Do subtitles match the personalized audio?
  • Does the timing fit the length of the replacement?

Inspect backgrounds and other personalized assets

Check any recipient-specific image, background or timed scene against the prospect and the message. Confirm that it appears at the intended point and doesn’t distract from the presenter. For Mini mode, personalized moments need background coverage; review the video to make sure the visual coverage is suitable.

  • Does each personalized image or background belong with this recipient?
  • Are timed scenes and media visible when expected?
  • Does the background support the message rather than obscure it?

Verify the call to action and destination

Read the closing line and check that it gives the prospect a clear next step. If the video includes a personalized link, verify that the value points to the intended destination and is assigned to the right prospect. A correct-looking link field isn’t enough: test the destination before sending.

A practical review workflow for a batch

For a campaign, don’t assume that checking the template proves every generated video is ready.   • Watch generated outputs, not only the template preview.
  • Resolve failed or needs-review results before treating a row as ready.
  • Keep the approved video matched to the prospect and the correct outreach message.

Choose a review depth that fits the risk

Use a full watch-through for a new template, a new type of personalization or any video with a custom destination or background. Once the workflow is familiar, a focused review can prioritize the details most likely to vary: the spoken replacement, timing, subtitles, assets and call to action.

A quick data check is faster, but it can’t reveal how a name sounds or whether a scene looks right. Watching every video takes longer, but gives you a direct check of each prospect’s version. Choose based on how much the videos vary and how costly a mistake would be.
