Build follow-up around the next useful step
A personalized video can fit into sales follow-up when you have a relevant message for each recipient and a clear next step. Start with the follow-up moment—such as after a conversation or a product discussion—then decide what you want the recipient to do. The exact timing is a sales decision; there is no universal schedule established here.
Prepare a reusable video template
Record a source video in a ready BHuman AI Studio template, and mark the words or media that should change for each recipient. Use concise, stable variable names such as `first_name`, `company`, or `booking_url`. Keep fixed wording in the template; the value you map should replace only the marked portion.
Keep personalized spoken text short. BHuman advises testing pronunciation, timing, subtitles, and background assets with a few rows before using a larger campaign.
Choose the follow-up moment and message
Choose timing based on your own sales process: what happened, what the recipient needs next, and whether you have something useful to add. Treat timing as a workflow choice, not a proven performance formula.
Keep the video focused on the specific context you can accurately personalize. Use a direct next step, such as a relevant booking link, only when that destination is appropriate for the recipient.
Prepare recipient data and map variables
For a manual batch, prepare a CSV or Excel file with one recipient per row and headers that correspond to the template variables. BHuman also documents Zapier, Leadr, Pabbly, and API as campaign data-source options.
In campaign setup, choose a ready template, select a data source, and map each variable to its matching column or payload field. Check that every required variable is mapped and every row has a value.
Generate, review, and send
Before generating, preview a few rows. Confirm names and company details, spoken replacements, pronunciation, timing, subtitles, and any row-specific background media. If a spoken phrase is personalized, send only the replacement words—not fixed words already in the template.
Campaign generation is asynchronous. After submitting, use the generated videos page to monitor queued, processing, succeeded, failed, or needs-review results. Review the output and choose the appropriate follow-up channel in your own sales process.
Hypothetical example: follow-up after a discovery call
For example, imagine a sales rep follows up after a discovery call. The template says, “Hi {first_name}, I enjoyed hearing about {company}’s priorities. Here’s the link to book the next conversation: {booking_url}.” A campaign row supplies the recipient’s first name, company, and booking link.
The rep previews the personalized video, checks that the details and link are right, reviews the generated result, and sends it as the next step in their existing follow-up process. This is an illustrative workflow, not a claim about response rates or ideal timing.
Know when to use a batch or an integration
Use CSV or Excel when you want to prepare and test a manual batch. Consider a documented integration or API route when another system should provide campaign data or trigger generation. The right choice depends on how your team manages recipient data and follow-up.
