Personalized Video Campaign Handoff Checklist

By BHuman Editorial TeamPublished

Use this practical handoff checklist to prepare your template, recipient data, variable mappings, test videos, and campaign results before launching a personalized video batch.

Start with a clear campaign brief

Before handing off a personalized video campaign, give the next person a brief that explains who the videos are for, what each recipient should see, and what action they should take. Then pass along the template, data, and review steps needed to produce and check the videos.

  • Campaign goal and intended audience
  • Recipient data owner and source
  • Template owner and approved source video
  • Call to action and destination URL
  • Who will check test videos and final results

Prepare the video template

Build and review the template before connecting a full recipient list. Mark the phrases or media slots that will change, and use stable, readable variable names such as first_name or cta_url. Keep fixed wording in the template; each campaign value should contain only the replacement text.

  • Confirm the template has a source video and at least one variable.
  • Check that each variable has one clear meaning and a consistent name.
  • Review spoken wording, pronunciation, timing, and subtitles where used.
  • Check that row-specific backgrounds or other media have a planned source.

Prepare the recipient data

Choose a data source that fits the handoff: a CSV or Excel file for a manual batch, or a connected workflow such as Zapier, Leadr, Pabbly, or an API. Make sure each row represents one video and includes the values needed for its mapped variables.

  • Use clear headers that match the template variables where possible.
  • Check that every required value is present for each row.
  • Keep spoken replacement values limited to the words that replace the marked phrase.
  • For background segments, include valid media or URL values for the relevant rows.
  • Remove or correct test, duplicate, and unintended recipient rows before generation.

Map fields and test a few rows

During campaign setup, connect the data source and map each template variable to the right column or payload field. Preview the rows, then generate a small test batch before sending the full campaign. Check that the replacement sounds natural, fits its timing, and displays the intended subtitles and background assets.

  • Confirm every required variable has a mapping and each test row has a value.
  • Check names, companies, spoken text, links, and media against the intended recipients.
  • Review video and subtitle timing, especially for longer personalized phrases.
  • If using Mini mode, check background coverage for every personalized moment.
  • If using timed background segments, validate the URLs or uploads for each segment.

Confirm readiness before generation

Treat generation as a handoff gate, not a final formality. Campaign validation checks for a source video, a valid data source, mapped required variables, row values, and other setup requirements. Account quota and generation availability also affect whether a campaign can run.

  • The approved template and intended data source are attached.
  • Required mappings and row values are complete.
  • Background coverage and timed media are ready for the selected setup.
  • Manual audio is recorded when required by the campaign configuration.
  • The account has enough quota and generation is available.

Monitor results and hand off outputs

Campaign generation is asynchronous, so the person launching it should tell the reviewer where to monitor results and what to do with failures. Review statuses such as queued, processing, succeeded, failed, or needs review. When available, generated outputs can include a share destination and a downloadable MP4 URL.

  • Assign someone to review render status and investigate failures.
  • Retry failed rows when appropriate and check any available processing details.
  • Share the approved output links with the person responsible for delivery.
  • Keep the row-to-video association clear during review and distribution.

Choose the right handoff depth

A lightweight handoff can work for a small, straightforward batch with a stable template and clean data. Add a formal review step when personalization, media, or delivery details are more complex. For example, imagine a team testing a new template: it could review a few rows first, resolve any wording or mapping issues, then submit the remaining batch.

  • Use a simple checklist for a small batch with few variables and one data owner.
  • Add a named reviewer and test-batch approval for campaigns with many recipients or personalized assets.
  • Use a documented owner for data corrections, render failures, and final output delivery.
