Personalized Video Campaign Ownership Checklist: Who Owns Each Step?

By BHuman Editorial TeamPublished

Use this practical checklist to assign people to the planning, data, setup, review, and follow-up work in a personalized video campaign. It’s a team-planning aid, not a BHuman task-management feature.

Start with a clear owner for every decision

A personalized video campaign runs more smoothly when each decision and handoff has a named owner. Use the checklist below to assign responsibility before launch, then make sure the campaign owner knows who to contact when something needs attention.

Assign campaign-planning responsibilities

Name one campaign lead to coordinate the work. Other people can contribute, but avoid leaving a task with a group and no clear owner.

  • Goal and audience — Campaign lead: define the campaign’s purpose, intended recipients, and desired next step.
  • Template and message — Creative or marketing owner: prepare the source video and decide which recipient-specific details will change.
  • Recipient data — Data or operations owner: prepare the CSV, Excel file, or connected data source and check the values.
  • Variables and mapping — Campaign operator: match template variables to the correct source columns or payload fields.
  • Personalized assets — Creative or data owner: supply any row-specific media or background assets the campaign needs.
  • Quality check — Reviewer: test sample rows and check the personalized wording, pronunciation, timing, subtitles, and assets.
  • Generation and monitoring — Campaign operator: submit the campaign and monitor results, including failed or needs-review items.
  • Delivery and follow-up — Sales or marketing owner: decide how recipients will receive the videos and what happens after delivery.

Check the setup before generating videos

Turn the ownership plan into a short readiness check. In BHuman, a campaign uses an AI Studio template and a data source; the campaign maps source fields to template variables and submits rows for video generation. Generation runs asynchronously, so plan for someone to monitor results after submission.

  • Confirm the template has a source video and at least one variable.
  • Attach a valid data source and map every required variable to a field or column.
  • Check that each row has values for its mapped variables; empty rows are skipped when parsed.
  • If using Mini mode, confirm background coverage for each personalized moment. If using timed background segments, make sure the rows include valid URLs or uploads.
  • If manual audio is needed because voice cloning is disabled for the campaign, record it before generation. Manual audio recording is unavailable for store templates.
  • Confirm generation is available and the account has enough quota.
  • After submission, assign someone to monitor queued, processing, succeeded, failed, and needs-review results.

Make the handoffs easy to review

Use stable, readable variable names so the data owner and campaign operator can identify what each field supplies. BHuman recommends lowercase snake_case names, such as first_name or cta_url, and advises keeping names stable after a campaign or automation is live.

For spoken variables, send only the replacement text. If the template already says “Hi,” the recipient’s cell should contain their name—not “Hi” plus their name. Test a few rows and check pronunciation, timing, subtitles, and background assets before the full run.

Choose a workable ownership model

For a small, one-off batch, one campaign operator may handle setup and monitoring while a second person reviews the message and sample rows. For a campaign fed by an app, CRM, or backend, assign a separate data or automation owner to maintain the source and mappings. BHuman documents CSV and Excel uploads, Zapier, Leadr, Pabbly, and API options; choose the input route that fits how your team supplies campaign data.

For example, imagine a sales team sending videos with a recipient name and booking link. The sales lead owns the audience and follow-up, an operations teammate checks the recipient rows, and the campaign operator maps first_name and booking_url, tests sample videos, and monitors generation. These are suggested team assignments, not automatic BHuman task assignments.
